Exam Scanning Instructions - Advanced Grading

Overview

Use these instructions for scoring bubble exam sheets. A number 2 pencil should be used. Only use these instructions if your exam has special answer combinations or if your exam is using a point per question other than 1. Otherwise, use the EXAM SCANNING INSTRUCTIONS - QUICK GRADE document.

The scanning machine is currently located at 27 Lanigan Hall, with access from 26 Lanigan Hall. Booking ahead of time is encouraged and required to prevent double booking with other instructors. To book a time during business hours, please use our booking link:

Exam Scanning Instructions - Advanced Grading

SCANNING THE TESTS

  1. Prepare the Scan Sheets

    1. Ensure all student exam sheets and answer keys are correctly bubbled in.

      1. Names

      2. Identification Numbers

      3. Special Codes (if needed)

    2. Write at the top of each sheet what the name of the class is, or a simple shape, or separate with folders when working with multiple tests. Special codes can be used to separate test versions.

  2. Prepare and Load Exam Sheets

    1. Place the answer key on top, followed by student sheets facing toward you.

    2. Only load to the maximum sheet level at a time to prevent jamming. 

    3. Ensure all sheets are facing the same direction, then load them into the scanner.

    4. Press the “Press to Load” button above the sheets.

  3. Sign in to the computer with your SUNY Oswego credentials

  4. Open the Remark Classic OMR Software from the Desktop

  1. Start Scanning

    1. Click the "Read" icon on the toolbar.

Note: If you get an error message, make sure the scanner is turned on.

  1. Click "Read" on the following dialog box.

  1. If a test jams, open the roller cover to gently release the test. Flatten the tests if needed and reload them into the hopper. Click to continue scanning.

Would you like to continue scanning pages? yes or no

  1. After scanning, if a prompt asks whether to continue scanning:

    1. Click “Yes” if there were misfeeds or jams that have been corrected or if you have more tests to scan.

    2. Click “No” if scanning is complete.

REVIEW FOR EXCEPTIONS

  1. Review Answer Key

    1. Review the answer key at the top of the generated results to be sure the paper answer key has the correct bubbled-in answers. The answer key will be row 1 in the generated results.

  2. Review Student Names and Campus IDs

    1. Review the list of student names and campus IDs for any errors or blank responses. Students may not have bubbled these in correctly.student names to review
    2. You may correct the names in the results and make a note on the paper sheet if you would like to remind the student for next time.
  3. Review for Double Marks or Blanks from Student Responses

This is for questions that are expected to have only one correct answer.

  1. Scroll through the results to look for light green boxes (double marks) or Blanks.

  2. Find the student’s bubble sheet to locate how the student answered.

  3. To correct:

    1. Click the down arrow in the "Bad" cell.

  1. Choose the correct answer.

  2. If a response is unclear (e.g., all circles look filled), leave it as is.

  3. If a student left a blank answer, leave it as is.

SAVE RAW DATA FILE (IF NEEDED) 

This is useful if you plan to open and continue working with the data or return to this machine to generate additional reports or make corrections.

  1. Click "File" > "Save As"

  2. In the save window:

    1. Location: Choose Desktop

    2. File Name: Enter class name, section, and test version

    3. Save as type: 

      1. Excel 2016 (.xlsx), (most common)

      2. Remark (.rmk) (If you plan to run the test again here to generate new reports)

      3. Text file (.txt) 

      4. Comma-Separated Value (.csv) 

      5. OR another preferred type

    4. Sheet name: leave as is 

  3. Remove Unwanted Column Properties (Optional)

    1. Click “Advanced” > “OK

    2. Unselect properties not needed, such as Sex, Grade Level, Month, Day, Year, and any questions not used.

    3. Click “Ok” and “Ok” again

ADVANCED GRADING

This is for tests with points other than one or with multiple answers. Otherwise, please see the Quick Grade sheet for instructions.

  1. Importing Your Key

    2. Choose “Answer Key” on the left side of the Advanced Grade window.red box around Answer Key in Advanced Grade

    3. In the Import answer key from: drop box, choose “Data Set (Grid) Row”. 

    4. Leave the row number set to ‘1’ and click “Import Key”.red box around the drop down button, Data Set (Grid) Row and Import Key
  2. Setting Grade for Multiple-Answer Questions
    1. Click Question properties on the left side of the Advanced Grade window. Advanced Grade page with a red box around Question Properties
    2. If you only need one question changed, skip to Step 4.
    3. Find the last question, press the “Shift” key on the keyboard, and click the last question. While holding down the “Shift” key, scroll to the top and click “Question 1”. You may let go of the “Shift” key. All Questions should be selected. 

    4. Select the question and check the box next to All correct answers must be chosen to be considered correct if using more than one answer.       1. OR
    5. To give Partial credit, check the box next to “Allow partial credit for correct responses” and click “Define”.Grade Settings with a red box around Partial Credit and Define

    7. In the Testing Option on the right side, select different answer combinations to view how it is graded.
  3. Once you are done assigning points to questions, click “Grade”.Advanced Grade Settings with a red box around Grade button
  4. Click “No” on the Save Answer Key dialogue box.Would you like to save this answer key with a red box around the No option

     

GENERATE INDIVIDUAL REPORTS

Please refer to the “Sample Test Reports” packet by the scanner.

  1. Select each report you need one at a time and select “Export Report” to save as a PDF, text file, or your preferred file type. Click “Export”.

  1. Name the file and point the location to the Desktop or your USB drive.

  1. Click “Save

  2. Repeat for each report you need.

Generate Gradebook (optional) (Example available at the end of the “Sample Test Reports” packet by the scanner)

This provides the student names, their scores, and the number of correct answers.

  1. At the top of the page, click Export Gradebook and save the file.

EXIT THE PROGRAM

  1. Click the “X” in the top-right corner. In the Remark Classic software, you can click the small X in the top right corner to reset for another scan.

  2. This returns you to a blank screen. From here, you can reopen Form-4521.rco if needed to scan additional tests.

EMAIL RESULTS

Alternatively, you may upload the files to Google Drive or add them to a USB drive.

  1. Open Google Chrome from the Desktop and navigate to oswego.edu/mail. Sign in with your oswego.edu email account.

  2. Email the required files. Typically:

    1. Individual Report files

    2. Raw Data File (optional)

    3. Gradebook (optional)

Delete files from the Desktop and log off the computer
