Enabling Email Delegation in Google Mail

Do you have a Departmental or Club/Organization Google Email Account?

Department and Club/Org Google accounts are treated as a “shared resource” allowing multiple users to access the account with only the password. This encourages “password sharing” which does not comply with security best practices. However, our previous business practices have created the necessity for these shared accounts to exist.  

CTS is asking users to enable a feature called "Email Delegation" which is available from within Google Mail itself. Email Delegation will allow someone to log into their oswego.edu email account, and have "proxy" access to the shared email account from within their Mail browser window.  You can only enable delegation to a user with another @oswego.edu address.    

With CTS making a move toward continued increased security practices, including the use of Multifactor Authentication (MFA) or 2-Step-Verification (2SV) as Google calls it, using MFA on a shared email account will cause problems with more than one user accessing the account. Email delegation will allow multiple users to read and reply to emails as necessary without a need to log into the account itself, and a secure password can be set.

To Set Up Email Delegation within Google for your shared departmental or club/organization account:

Note: you cannot manage delegation rights through a delegated email address. You will need to log into the departmental or club/organization account through either of the following:

  • An incognito mode of the web browser 
  • Adding the departmental or club/organization account to your SUNY Oswego Gmail account.
